What is DOCX?

DOCX is the default file format for Microsoft Word since the 2007 release. It is an XML-based format stored as a ZIP archive (the .docx extension is actually a ZIP containing multiple XML files and assets). DOCX replaced the older binary .doc format and became an ISO standard (OOXML, ISO/IEC 29500).

DOCX is the most widely used word processing format globally, supported by Word, Google Docs, LibreOffice, Pages, and most writing tools. However, viewing a DOCX requires word processing software — PDF is a better choice for distribution.

What is PDF?

PDF (Portable Document Format) was created by Adobe in 1993 and became an open ISO standard in 2008. PDF represents documents with a fixed layout that renders identically across all devices, operating systems, and printers — regardless of which fonts, software, or platform the recipient uses.

PDF is the universal format for sharing final documents: contracts, reports, resumes, academic papers, and invoices. Unlike DOCX, a PDF cannot be easily edited (which is often desirable to prevent modifications).

DOCX vs PDF: Which format to use when?

Use DOCX when you or your recipients need to edit the content. Use PDF when you are sharing a finished document and want to preserve the exact layout and prevent easy editing.

For official documents, submissions, invoices, and archives, PDF is the professional standard. Most employers, universities, and clients prefer or require PDF. When creating your original document, work in DOCX for easy editing; then convert to PDF for distribution.

Limitations of browser-based DOCX to PDF conversion

Browser-based conversion has inherent limitations compared to Microsoft Word's native PDF export. The limitations arise because DOCX rendering is complex — Word uses a proprietary layout engine developed over 30 years.

What works well: body text, headings, bold/italic, bullet/numbered lists, basic tables, inline images. What may not convert perfectly: multi-column layouts, text boxes, floating images, headers and footers, custom styles, SmartArt, charts, and equations.

For documents with simple formatting, browser-based conversion produces excellent results. For complex reports or documents with intricate layouts, Microsoft Word's built-in "Save as PDF" produces the most accurate output.
